Becoming a Vendor
The biggest change for the 2018 season is the closure of State St. (S.R. 3) from W. Home St. to Park St. for all six events. The extra space will not only allow for increased pedestrian movement and safety, it will allow us to place a limited number of vendors directly on State St. These vendors will have several restrictions and the WVCB staff will decide from among those interested which vendors will be placed in the available spaces. Further details are below.
In the remainder of the vendor areas, spaces available will include those available for all six months, those available for three months and those available for one month only. Vendors choosing a Three-Month space may choose which three months to participate, but participation is limited to those three months. Choosing two Three-Month spaces will not be permitted. (Except on State St.) Those choosing a One-Month space can sign up for no more than two months at a time.
Event Details (New This Year!)
Mount Carmel St. Ann’s 4th Fridays take place from 6-9pm. City crews begin blocking off side streets for vendor locations about 4pm and vendor set-up begins at 4:45pm. Vendors on the side streets
must have their materials in their space and have their vehicles moved by 5:30. Between 5:30 and 5:45, city crews will move in heavy trucks to block off State St. State St. vendors will be permitted to unload onto the sidewalk between 4:45 and 5:30 and set up on the street within the marked parking spaces once the street is clear of traffic. Clean-up begins at 9pm and side streets are usually reopened by 10pm. State St. vendors will be required to move their belongings onto the sidewalk so State St. can be re-opened at 9:15 SHARP!
Choosing Your Space
Registration requests will be considered on a first-come, first served basis and applicants will be contacted in the order in which their registration forms are received.
Six-Month vendors from the previous year can choose to reclaim their space if they do so by the deadline. Three-Month vendors are not eligible to re-claim their previous year’s space. Payment is due at the time of registration. No space will be held without payment. We accept cash, check, money order, Visa, Mastercard, American Express and Discover.
State Street Spaces (New This Year!)
The City of Westerville has approved a limited number of vendor spaces on State St. for the 2018 Season. The WVCB reserves the right to assign some or all of these spaces based on very specific criteria, some of which are outlined above. Spaces will be available for food
trucks, 10×10 and 10×20 spaces. If you are assigned to a State St. space and are unable to comply with the criteria, the WVCB reserves the right to reassign you to a different vendor location. State Street locations are available only for single months or three months blocks. State St. is the only location where you can reserve two, three-month blocks. To view the vendor map, Click Here!
Vendors registering less than ten days before an event will be considered in relation to space available or vendor cancellations. Once all available spaces have been assigned, those still interested in participating will be placed on a waiting list. Replacements will be assigned from that list in the order in which he or she registered.
Vendors registered for a given month will be sent a series of Vendor Location Maps and a Vendor List via e-mail one week prior to each event.
WVCB requests that you notify our office by the Wednesday before the event if you will not be using your reserved space. A vendor missing two events without prior notification may lose their reserved space and may be reassigned based on availability.
The WVCB reserves the right to reassign vendor spaces not occupied by 6pm for that event.
In an effort to offer a variety of products and services, the WVCB reserves the right to limit the number of vendors promoting/selling the same product or service. Every effort will be made to place vendors with similar products or services in different vendor areas. Please be specific when describing not only the nature of your business, but your planned offerings as well, attaching a separate sheet or sending us an e-mail if necessary. Here are some examples: if you sell handbags, but also offer jewelry or if your insurance business plans to offer facepainting we need to know this information. If you have questions, please give us a call.
Vendors planning to provide food of any kind must notify the WVCB at the time of registration. Food trucks, trailers and carts will be placed in designated spaces. What To Bring To The Event
Be creative and have fun! Vendors are encouraged to set-up fun, eye-catching and tasteful displays.
**All vendors must bring their own tables, chairs, 10×10 tents, racks, stands and other set-up equipment. **
Everything you bring must fit in your vendor space. Only vendors in 10×10 spaces are permitted to have 10×10 tents. Those in 8-foot spaces may use a patio umbrella no wider than 4 feet.
The WVCB has a limited number of extension cords 25-, 50- and 100-feet long that vendors may check out from the office beginning at 5pm the night of the event. The cords must be returned to the office by 9:30pm or the vendor will be responsible for its replacement cost.
Finding Your Space on 4th Friday
Make sure you review the vendor email that is sent around 3pm one week before the event and call the WVCB if you have questions. Vendor spaces are marked in sidewalk chalk.
Depending on the location of your space, you may be able to pull onto the street or into the parking lot to drop off your items then move your vehicle to a nearby parking area. There is no need to check in, just set up and get ready to meet new people and have a blast doing it.
All Mount Carmel St. Ann’s 4th Fridays are rain or shine events.
There are no refunds or rain dates.
Once you fill out the registration form below, a WVCB staff member will call you, place you in an available space and collect payment information until there are no more spaces available. If you do not receive a call, it means staff has not gotten to your name on the list yet or we have filled all of our spaces. If the latter is the case, your name will be added to the waiting list and you will be called if a space becomes available.
All calls and emails will be returned in the order they were received. Do not mail your payment unless you have received confirmation of your location from a staff member.
